Separate the client’s request from your internal close
A bookkeeper’s month-end close includes reconciliation, review and reporting. The client usually needs a smaller list: the documents or explanations only they can provide. Sending the full internal checklist can make a simple request feel like a second job.
State the client, reporting period, due date and who to contact. Use one item for each document or answer you need. “September bank statement, all pages” is clearer than “bank paperwork.” Adapt the list to the engagement; not every business has payroll, inventory or several payment processors.
Begin with the missing information
- Statements that cover the full period for the relevant bank and credit-card accounts.
- Sales or payout reports for payment processors where needed.
- Receipts, supplier invoices or explanations for specific unmatched transactions.
- Payroll summaries and new financing documents when relevant.
- One place to explain unusual transactions or changes during the month.
Give an example of an acceptable file or answer. Avoid asking for passwords, complete card numbers or unrelated personal documents. The smallest adequate request is easier to complete and review.

Processor report: needs clarification because it covers August.
A file arriving does not mean the item is complete. Record who reviews it and why an item needs clarification. A short explanation prevents another round of “please resend.”
Make the next month a fresh request
Reuse the structure without reusing last month’s completion state. Check dates, account names, recurring items and due dates. Remove requests that no longer apply and add specific new exceptions.

Learn from one close before expanding
Try the approach with one willing client. Count the items still missing at the agreed date, the requests needing clarification and the time spent finding replies. Also ask whether the client could finish from their phone.
Compare the effort with the portal or practice-management tool you already use. A separate collection tool earns its place only if it makes the repeated request and review easier. A completed checklist alone does not certify the accuracy of the books.
